Refunds, deposits, and cancelled days

These rules apply to quoted reviews — source registers, concentration maps, leakage notes, and partner meeting files. We do not sell goods, subscriptions, or courses. There is nothing here about parcels or shop returns.

When a refund can be asked for

A refund question only arises after we have accepted a written scope and you have paid a deposit or a fee. A contact-form note that was never accepted is not a purchase. Website form acknowledgements are not receipts.

Timeframe

Write to info@broker-pulsegrid.digital within fourteen days of the event you rely on (a cancelled on-site week, a register you believe was not delivered, or a fee taken in error). Requests after that window are considered only where Malaysian law requires it or where we had already agreed a later date in the scope.

Full refund

A full refund of sums paid is due if we cancel the engagement before the first on-site day for a reason on our side (illness in the Cheras room without a substitute, or our inability to attend the agreed week). A full refund is also due if we have taken a deposit and then refuse the book because we cannot lawfully or practically read the records — for example if authority to show the diaries is missing — and no on-site day has begun.

Partial refund

If you cancel after the intake call but at least ten days before the first on-site day, we keep a portion of the deposit equal to time already spent on the document list and diary sample, and refund the rest. If you cancel inside ten days, or after coding has started, the deposit is not returned; unused later instalments that were not yet due are not billed. If we have delivered a working file or register, the fee for that deliverable is earned.

Non-refundable items

Time already spent on site is not refundable. A findings meeting that took place is not refundable. Extra on-site days that were worked are not refundable. We do not buy materials for you; there is no materials charge to unwind.

Deposits

A typical source review asks for forty percent of the quoted fee to hold the two on-site days. The balance is due before the findings meeting. Deposits are applied to the fee, not held as a separate product.

Rescheduling

You may move the on-site days once, with seven days’ notice, at no extra fee if the Cheras room has another week free within a month. A second move, or a move with less than seven days’ notice, may be charged as an extra on-site day or may forfeit the deposit if we cannot fill the week. We will say which, in writing, before you confirm the move.

No-shows

If we arrive at the agreed office and the diaries are not available, or the person who writes the sources is absent without warning, the day is treated as worked. We will try to finish from what is there; we will not refund the day because the cabinet was locked.

Work already started

Once coding has begun — including a first morning with the appointment book — the engagement is underway. Stopping then does not unwind the fee for work done. We will hand over whatever working papers exist, marked unfinished, if you have paid for that time.

Processing time and method

Approved refunds are returned by the same method you paid, where the bank allows, within fourteen working days after we agree the amount. We do not refund in cash at 8th Mile. Currency is Malaysian ringgit unless the quote said otherwise.

Exceptions

If a register contains a coding error we accept, we correct the register. That is not a refund unless you decline the correction and we agree the engagement failed. We do not refund because an introducer disliked the findings meeting. We do not refund because the principal hoped the numbers would look more independent than the diaries showed.
