Privacy note

This note explains how Broker Pulse Grid handles personal data when you use the website, write to the Cheras office, or open your appointment books for a review.

Data controller

Where we read your clients’ or introducers’ names inside your files, we do so as a processor on your instructions for the review; you remain the controller of those files.

What we collect

From the contact form: name, email, the review you selected, an optional preferred week, a rough introducer count, and your message. From an engagement: appointment-book extracts, commission-statement copies, introducer letters, and notes of interviews you authorise. From the site itself: the cookie choice stored on your device as described in the cookie note, and ordinary server logs the host may keep (date, page requested, coarse technical data).

Why we use it

Enquiry data is used to reply within two working days and to quote a review. Engagement records are used to code sources, write the register or working file, hold the findings meeting, and deal with fee or refund questions. We do not sell lists of introducers. We do not use your books to market other firms.

Legal bases

We rely on your request (pre-contract steps) for enquiries, on the engagement contract for the review, on legitimate interests in keeping working papers long enough to answer a dispute about the register, and on legal obligation where Malaysian law requires a record. Sensitive family introducers coded under a private key are handled as you instruct in writing.

Retention

Unsuccessful enquiries are kept up to twelve months unless you ask us to delete sooner. Paid engagement files, including copies of working papers, are kept for seven years after the findings meeting, which matches how long a fee or quality question reasonably lasts in this field. Originals signed out to us are returned when the on-site days end. You may ask for earlier deletion of enquiry mail; we will say if a legal hold prevents it.

Who we share with

We do not speak to your introducers unless the scope says we may sit in. Hosting and email transmission involve processors who store or carry messages. We do not place your source register on a public page. If a Malaysian authority lawfully requires a record, we will consider the request and tell you unless we are forbidden to.

International transfers

The working room is in Malaysia. Email and hosting may involve servers outside Malaysia. Where that happens we use suppliers who contract to protect the data and we avoid sending full introducer files through casual chat applications. If a transfer needs extra safeguards, we will say so in the engagement note.

Your rights

You may ask what personal data we hold about you, ask for a copy, ask us to correct it, or, where the law allows, to delete it or restrict it. You may withdraw consent for optional cookies as described in the cookie note. Enquiries about rights go to info@broker-pulsegrid.digital. You may also complain to the Personal Data Protection Commissioner of Malaysia.

Children

The site is for brokerage principals and staff. We do not seek data from children.

Changes

We will update this page when our handling of records changes. The date of a review is the date of the engagement papers, not the date you first read the site.
